Operations Associate

SUMMARY
The Operations Associate is responsible for supporting the daily activities of the Operations team. You will have a substantial role in client service and hospitality. Your duties will include the following: client services; virtual and live event execution; and speaker, sponsor, and attendee coordination and communication. You may be assigned other duties as needed. This position requires a travel commitment of approximately 3 to 4 weeks per year.

ESSENTIAL DUTIES AND RESPONSIBILITIES
- Events
- Track Weekly Event KPIs
- Virtual Events: Set-up virtual events on platform, Hopin and ZOOM
- Virtual Events: Perform pre-event sponsor and speaker tech-checks
- In-Person Events: Source vendors (hotels, A/V)
- Monthly inventory reviews and/or post-event inventory reviews
- Track all registrations via CRM
- Pack and ship all event materials
- Complete post event wrap-up, including surveys and CRM updates
- Maintain post event media in The Kayo Corner
- Maintain all The Kayo Corner memberships invitations
- Client Relations Coordinator (“Client Concierge”):
- Maintain the client relationship from contract to wrap up
- Communicate deadlines and deliverables to clients and team members
- Support the Programming Director coordinating and participate in all sponsor programming calls
- Support Head of Operations in all aspects of client service
- Track weekly sponsor deliverables
- Communicate deliverables clearly
- Troubleshoot contracts that are “off-track” and communicate with Sales Team
- Guidebook
- Serve as primary project manager for Kayo Guidebooks
- Communicate deadlines to clients for submissions
- Ensure that all Guidebook profiles are up to date in the Corner (Kayo’s digital community)
- Coordinate and consolidate edits from Guides before sending to Marketing Team
- Assist Marketing Team with reviewing pages for edits
- Track new and expiring Guidebook pages
- Speaker Concierge (“Speaker Concierge”):
- Serve as primary point of contact for confirmed speakers
- Find speaker headshots, and keep website up to date
- Schedule pre-event panel calls between panelists and moderators
- Maintain FAQs for speakers

Business Development Associate
Department: Sales

SUMMARY
The Business Development Representative’s responsibility is to deliver their revenue plan through growth and retention of Kayo Sponsors. They are responsible to generate new leads and steward them through the Kayo sales process. They will build and maintain relationships with existing Sponsors ensuring they received the value promised and help them further engage in Kayo events.

ESSENTIAL DUTIES AND RESPONSIBILITIES
- Generate new event sponsorship opportunities with new and existing Sponsors for Live and Virtual Events
- Execute existing sales process
- Identify new leads from individuals who engage with Kayo events, sponsor competition events and are a part of the industries Kayo serves.
- Perform discovery with prospects to understand their how their company offering fits into their market and how they can benefit from the Kayo community.
- Work with operations to determine appropriate Kayo sponsorship offering and present to prospect with a proposal that meets their needs and highlights Kayo’s value proposition.
- Assist customer through the contracting process
- Follow up on outstanding proposals in a timely manner
- Support Finance in collection AR as necessary
- Provide Account Management to existing Sponsors
- Look for ways to further engage them into the Kayo community and build lasting relationship with them.
- Educate and sell existing sponsors on Kayo new opportunities
- Generating referrals to other professionals and firms who would benefit from the Kayo community
- Attend Kayo events and engage with Sponsors to ensure client receives value promised by Kayo and assist other team members with the execution of the event
- Maintain appropriate sales pipeline to meet company goals
- Ensure all sales information is entered into Insightly and Monday on a timely manner
- Attend company meetings as required
- Other duties may be assigned as needed

Programs and Content Associate
Department: Marketing

SUMMARY
The Programs and Content Associate is responsible for assisting in program design, research, and speaker outreach. The Programs Associate is our industry research and ecosystem “expert” who stays on top of trends and thought-leadership in each of the industries we cover. The Programs Associate maintains a database of speakers. The Programs and Content Associate assists with the creation of the run of show for all events based on the event goals. The Programs and Content Associate works closely with the Director of Programming and Head of Marketing to assist with writing topics and inviting speakers.

ESSENTIAL DUTIES AND RESPONSIBILITIES
- Industry Knowledge
- Research each industry in which Kayo operates
- Research professional development skills
- Maintain an outline of the eco-system for each event; key players, their roles, how they interact
- Attend conferences, listen to webinars, read research reports and books to stay on top of industry trends
- Program Design
- Assist with the design of programs and the run of show
- Track quality metrics for each program element (e.g. Keynote, Panel, Networking functions)
- Write copy for program topics as needed
- Assist with poll creation to add interactive component during events
- Speaker Outreach
- Work with Director of Programming to research, tier, and to invite speakers and moderators
- Track programming progress in Insightly using fields and tags
- Maintain all programming fields in Insightly
- Oversee the process of sending Thank You notes to speakers post event
- Keep past speaker profiles up to date in CRM System
- Leverage the network of Kayo Alumni to generate speaker referrals
- Assist Speaker Concierge with prep calls that need programming input
- Participate in sponsor wrap up calls that involved sponsor-speakers to incorporate feedback to future events.
